Setting Up Email Notifications in PageTiger

With email notifications in PageTiger, an email is sent to you automatically the moment someone engages with your content, whether that's visiting a key Version, viewing a specific Page or completing an Assessment. In this tutorial, you'll learn how to create a reusable notification, attach it to a Version, a Page or a piece of Interactivity, and keep track of everywhere it's being used.

INSIGHTS

Stay Informed, Without Checking Analytics

Whether it's someone visiting a key Version, completing an Assessment or answering a Poll, knowing when it happens helps you respond quickly. Email notifications take care of that for you: once one is set up, PageTiger emails you as soon as the activity happens, so there's no need to log in and check Analytics.

Notifications are created once and are reusable, so a single notification can be attached in several places across your documents. In this tutorial, we'll attach one to the latest Version of a Company Newsletter, to the final page of a New Starter Onboarding Guide, and to interactive elements including Assessments and Polls.

Create a Notification

Every notification starts in your settings, ready to be attached wherever you need it.

To get started:

  1. Click Documents
  2. Select Settings
  3. Select Notifications
  4. Click Add
  5. Under Notification Method, select Email
  6. Enter a name for your notification
  7. Choose an Output Format
  8. Enter an Email Address and Email Subject
  9. Make sure Enabled is ticked
  10. Click Save

There are two Notification Methods, Email and Webhook; this tutorial covers Email. When choosing your Output Format, HTML is usually the best choice if the email is going to a person, while Text sends a simpler, plain version. JSON and XML are designed for sending the data on to another system.

Only one email address can be added to each notification, so if several people need to be notified, it's best to use a shared inbox. Each field is explained in more detail in How to create a Notification.

Get Notified When Someone Visits a Version

With your notification saved, you can attach it to a Version so you're notified every time someone visits it. Here, we're adding it to the latest Version of our Company Newsletter.

To get started:

  1. Open the Document Dashboard for your document
  2. Select Manage Version for the Version you want to track
  3. Select Version Settings
  4. Choose your notification from the Visit Notification dropdown
  5. Click Save

For more detail, see Notification Type: Version Visit.

Get Notified When Someone Views a Page

You can also attach a notification to a single Page, which is useful if you only need to know when a specific part of your document is viewed. In our New Starter Onboarding Guide, we're adding one to the last page.

To get started:

  1. Open the Pages palette at the top right of your document
  2. Right-click the page you want to track
  3. Select Page Properties
  4. Choose your notification from the dropdown
  5. Click Save

For more detail, see Notification Type: Page View.

Get Notified When Someone Engages with Interactivity

Finally, notifications can be attached to Interactivity, such as Assessments, Polls and Videos.

To get started:

  1. Click the interactive element
  2. Select the Notification icon
  3. Choose your notification from the dropdown
  4. Click Save

For Assessments and Polls, you can go a step further and send the notification only when a specific result is achieved, or when a particular answer is selected. For an Assessment, select the Results tab and choose a result, such as Pass. For a Poll, select the answer option you want to trigger the notification. This lets you focus on the outcomes that matter most, rather than being notified every time someone takes part. For more detail, see Notification Type: Interactivity.

Manage Your Notifications

Because notifications are reusable, the same one can be attached in several places. To see everywhere a notification is being used, open it from your Notifications list and select the Used By tab, which makes it easy to keep track as your documents grow.

By setting up email notifications, you can stay up to date with how people are engaging with your content, while managing everything from one place.

FAQs

How do I get an email when someone views my PageTiger document?

Create an email notification from Documents > Settings > Notifications, then attach it to the Version you want to track. Go to Manage Version in the Document Dashboard, select Version Settings, and choose your notification from the Visit Notification dropdown.

Can I be notified when someone views a specific page?

Yes. Open the Pages palette, right-click the page, select Page Properties and choose your notification from the dropdown. This is useful when you only need to know that a particular part of your document has been viewed.

Can I get a notification only when someone passes an Assessment?

Yes. Click the Assessment, select the Notification icon, then use the Results tab to choose the result that should trigger the email, such as Pass. Polls work in a similar way, letting you trigger a notification when a particular answer is selected.

No, each notification can only be sent to one email address. If several people need to be notified, it's best to use a shared inbox.

Which Output Format should I choose?

Choose HTML if the email is going to a person, as it's usually the best choice. Text sends a simpler, plain version, while JSON and XML are designed for sending the data on to another system.

Can I use the same notification in more than one place?

Yes. Notifications are reusable, so the same one can be attached to several Versions, Pages or pieces of Interactivity.

How do I see where a notification is being used?

Open the notification from your Notifications list and select the Used By tab. It shows everywhere that notification is currently attached.

What's the difference between the Email and Webhook Notification Methods?

Email sends a notification to an email address of your choice, and is the method covered in this tutorial. Webhook is the other Notification Method, used to tell another system when something happens in PageTiger.
